The role of Koufonisia Weddings

Koufonisia Weddings serves as a digital guide, an organisational tool and a service connecting couples or guests with independent accommodation providers, reception venues, transport and other professionals.

The platform can collect a request, contact the selected partner, check availability, prepare the quote and send it to the interested party. It is not automatically the final service provider, nor does it guarantee availability prior to explicit confirmation.

Important clarification

Submitting an enquiry or receiving a quote does not constitute a firm booking.

How the request for quotation works

Selection of criteria

The user selects dates, guests, rooms, category, budget and any special requirements.

View available options

The platform displays indicative options, features and prices based on the available data.

Submit a request

The user is requesting a personalised quote with no obligation to purchase or book.

Review with the partner

Koufonisia Weddings contacts the partner to confirm the details and finalise the proposal.

The information provided must be accurate. Incorrect dates, number of people or special requirements may result in a different price or an inability to confirm the booking.

Content and duration of the offer

The offer may include:

  • Partner’s name and type of service or room.
  • Dates, number of nights, number of guests and rooms.
  • Price per night or total price.
  • Facilities, breakfast, minimum stay or special conditions.
  • Date and time of the offer’s expiry.
  • Notes or specific terms and conditions of the partner.

This offer is valid only until the time stated. Once it has expired, the price and availability must be checked again. Even whilst the offer is still valid, the booking is only finalised once the partner has confirmed that the service remains available.

Acceptance of the offer

By selecting ‘I accept the offer’, the user indicates that they wish to proceed with the booking and consents to the disclosure of the strictly necessary contact details to the relevant partner.

Acceptance constitutes an expression of interest and does not automatically result in a charge, unless it is explicitly and clearly stated on the same screen that this action creates an obligation to pay.

No hidden commitment

Simply accepting an offer does not result in your card or bank account being debited automatically.

When is a booking considered confirmed?

A booking is considered final when:

  • The partner must confirm availability in writing or by some other clear means.
  • The customer accepts the partner’s specific terms and conditions.
  • Pay the deposit or any other agreed amount, if required.
  • The partner shall issue the relevant confirmation or receipt.

Until the above has been finalised, the selection may remain provisional and should not be regarded as binding.

Payments, advance payments and supporting documents

Unless expressly stated otherwise, payments and deposits are made directly to the partner. Koufonisia Weddings does not store credit card details and does not collect money on behalf of the partner.

Before making any payment, the customer must confirm the payee, the amount, the payment reference, the refund terms and the partner’s details. Legally valid receipts are issued by the service provider.

Cancellations, changes and refunds

The terms and conditions regarding cancellation, date changes, no-shows and refunds are set by the partner and must be communicated before the booking is finalised.

As accommodation bookings for specific dates may be exempt from the general 14-day right of withdrawal, the user should read the cancellation policy carefully before paying.

Koufonisia Weddings can assist with communication, but cannot enforce a refund or a change to the terms and conditions of an independent partner.

Liability of independent contractors

Accommodation providers and service providers are responsible for the accuracy of their information, availability, quality, safety, lawful operation and the provision of the services they agree to provide.

The fact that a business is listed on the platform does not guarantee that there will be no price changes, cancellations, delays or other problems. The platform makes reasonable efforts to provide accurate information and support, but does not act as a substitute for the actual service provider.

Prices, additional charges and commissions

Where it states ‘the same rates as the accommodation’ or ‘no extra charge’, this means that Koufonisia Weddings does not charge the guest a separate fee for that particular request.

Taxes, accommodation charges, transport costs, extras or other compulsory charges must be confirmed in the quote or directly by the partner.

In certain partnerships, the platform may receive a commission from the partner, at no extra cost to the customer.

Personal data in the context of requests

When preparing a quote, we may process your name, email address, telephone number, dates, number of people, room type, budget, notes and other information that the user chooses to provide.

The data is used to respond to the enquiry, send a quotation, the technical operation of the system and communication with the partner, subject to relevant consent or where this is necessary for the pre-contractual measures requested.

We do not sell personal data. Disclosure is limited to the information necessary for the specific service.

Your rights under the GDPR

Find out what data we hold and obtain a copy.

Correction

Please request the correction of any inaccurate or incomplete information.

Delete

Request deletion where there is no legitimate reason for retention.

Restriction

Request a temporary restriction on processing.

Opposition

Object to processing based on legitimate interests.

Portability

To receive data in a structured and readable format, where applicable.

Withdrawal of consent

To withdraw consent without affecting the lawfulness of previous processing.

Complaint

You should lodge a complaint with the Data Protection Authority.

How to submit a request for personal data

To exercise any of your rights, please email info@koufonisiaweddings.gr with the subject line ‘Personal data request’. Please describe your request clearly and state the email address or telephone number you used on the platform.

For data protection purposes, reasonable verification of identity may be requested. Requests are processed without undue delay and, as a rule, within one month, in accordance with the provisions of the GDPR.

Where a request is particularly complex or there are several requests at the same time, the deadline may be extended in accordance with the law, subject to prior notification.
